What to automate with AI in an Ibiza or Formentera business

A rental business receives repeated enquiries. A service company copies email details into a spreadsheet. An office needs instructions that only one colleague knows. These are examples of problems we can examine; they do not all need the same AI system.
I work with clients in Ibiza and Formentera and we can review a process in person. I am based in Formentera. Before proposing a tool, I want to understand the team's work and what it costs to do it.
Start with a task you can observe
Choose a task with a clear beginning and end. “Improve the business with AI” cannot be tested. “Draft replies to rental enquiries using our current terms” defines work we can assess.
For several days, record how often the task occurs, how long it takes and the exceptions it requires someone to handle. Include review and correction time: a quickly generated answer can be expensive if someone has to rewrite it.
Use real examples, removing personal details that are unnecessary. That sample becomes the basis for comparing the current process with a pilot.
Distinguish integrations, rules and AI
- Moving information between tools. If a submitted form should create a record or trigger a notification, start with an integration.
- Calculating with known rules. If prices depend on tariffs, quantities and dates, a calculator may be more appropriate than asking a model to invent the result.
- Interpreting text or consulting documents. An AI assistant may make sense here, using authorised sources and access limits.
In Love Bici, digital contracts form part of a rental process. For Cetis Flexo, a company in Slovenia, I worked on a quoting application. These are references for specific processes, not proof that every island business will achieve the same result.
An assistant needs sources, permissions and human help
I am building Savia AI to consult and maintain company knowledge. The product shows sources and supports reviewing how information is incorporated. Some parts remain in development; its own agents and a customer service chatbot are next steps, not projects I can present as delivered.
Before letting an assistant answer customers, decide what it can consult, who updates the sources and which questions need a person. It can make mistakes even with correct documents. Test ambiguous questions, missing information and access that should be blocked too.
Decide how to assess the pilot
Compare equivalent tasks and record total time, corrections, failures and cases requiring intervention. Include tool and maintenance costs. Then decide whether the result justifies expanding, changing or stopping the system.
If activity changes between high and low season, record when you collected the data. Do not mistake a change in demand for an improvement in automation.
Prepare the first conversation
Bring one specific task, several examples, the tools you already use and the person who knows its exceptions. We can then agree a small, testable scope.
